Getting Started as a Club Director

You’re set up in four steps: accept your staff invite and sign in, activate your club’s subscription if it isn’t active yet, import your roster from a CSV, and get oriented in Roster, Events, Dashboard, and Settings.
Accept Your Invite and Sign In
Section titled “Accept Your Invite and Sign In”We set up your director account and send you an invite link. Click it and you’ll sign in through Auth0 at clubs.inboxathletics.com — no password to create or remember. Enter your email for a passwordless sign-in link, or use Continue with Google instead. Once you accept, you’re a staff member of your club, and clubs.inboxathletics.com is your home base going forward.
If you sign in and land on a waiting page instead of the app, your invite is confirmed but your club membership hasn’t been finalized on our end yet. There’s nothing for you to do — we’ll finish setting up your club and you’ll get access as soon as that’s done.
Activate Your Subscription
Section titled “Activate Your Subscription”If your club doesn’t have an active subscription yet, you’ll land on the Activate Subscription page in place of the app the first time you sign in. As the founding director, you activate it yourself — no waiting on manual setup.
Click Activate Subscription and Checkout opens through Stripe. Club Licensing is billed at $34.99 per athlete seat per month — director and staff seats are free and don’t count against your seat limit. Once payment completes, the full portal unlocks.
Import Your Roster
Section titled “Import Your Roster”Head to Club Roster to bring your athletes in. Upload a CSV of names, emails, and graduation years, and Inbox Athletics builds a preview before anything is sent — nothing goes out automatically on upload.
The preview is a real screen, not a one-time popup: review each row, fix a misspelled email or the wrong grad year inline, or reassign a row to a different team, all before you confirm. Step away or refresh the page and you’ll pick up the same preview where you left off. Once you confirm, invite emails go out to your athletes. They accept and continue in Inbox Athletics like any other athlete — nothing new for them to download or set up on your account.
Find Your Way Around
Section titled “Find Your Way Around”Four pages carry the day-to-day work:
Club Roster— your full athlete list, filterable by team, with pending invites tracked alongside active members.Club Events— games and events aggregated in one calendar, pulled from TGS, TeamSnap, and ICS calendar sources.Club Dashboard— the health-of-the-program view: engagement counts, who needs your attention this week, reply rates, and message volume, filterable by team and time period.Club Settings— your seat usage, staff list, and the Stripe Customer Portal for billing.
Across Roster and the Dashboard, the same rule holds everywhere: see who’s working, not what they’re doing. You’ll see engagement tier, which direction a conversation is moving, and a plain-language health signal for each athlete — never the actual content of what they’re saying to a coach. That boundary isn’t a setting you can turn off; it’s built into how the data reaches these pages at all.
